THE BUYING ANSWER

Start with a clear definition.

Record the final file identifier, dimensions and approval date in the order pack. Name the earlier versions it replaces. Keep a preview for recognition, but make clear which actual file should be used.

The decision behind the detail.

Files with names such as final-new can remain ambiguous. Use a consistent revision scheme and one explicit active version.

PREPARE ONLY WHAT IS RELEVANT

Three details to bring.

Active file
Record the exact file name and revision.
Linked products
List the styles, colours or packs using it.
Approval record
Identify the decision that released this version.

Check together

  • Check the preview matches the active file.
  • Remove superseded files from the active handoff folder.
  • Reconfirm artwork after a product or packing change.
