THE BUYING ANSWER

Start with a clear definition.

Identify the agreed materials, dimensions, construction, trims, labels and packing that the reference covers. Record any explicitly excluded item. The sample should be connected to the written specification rather than treated as a replacement for every order document.

The decision behind the detail.

An approved appearance with unresolved labels is a partial decision. Make the limits visible so production scope is not inferred from an informal yes.

PREPARE ONLY WHAT IS RELEVANT

Three details to bring.

Reference identity
Record style, size, colour and revision.
Coverage
List the specification areas represented by the sample.
Exceptions
Identify anything still pending or covered by another record.

Check together

  • Match the reference to the current specification.
  • Resolve required exceptions before production release.
  • Keep both parties' reference records consistent.
